POSITION DESCRIPTIONS
President:
The President is the Chair of the Board of Directors, and shall preside at
all meetings. The President be related to the Vice-President, Secretary or CFO. The
President shall cast one (1) vote only in the event of a tie. The President is to remain objective during motions and let all sides be heard. The President shall be an exofficio
member of all committees, except the Nominating Committee. The President
shall assist the Vice-President and CFO in preparing an annual budget. The
following is a list of dditional presidential duties:
1) Arrange monthly meetings.
2) Officially represent CCAS.
3) Collect and distribute mail to appropriate persons.
4) Delegate duties of the Club as necessary.
5) Call emergency Board meetings as necessary.
6) Be budgeted for administrative costs directly affecting the functioning of the
Club, including AFA dues and post office box fees.
7) Recommend a Parliamentarian
8) Recommend a Senior Advisor.
9) Sign contracts for the Club president.
Vice-President:
The Vice-President shall preside at meetings in the event of the
President's absence. The Vice-President shall direct the programs committee for the
Club. The following is a list of additional duties of the Vice-President:
1) Recommend a Programs Committee Chair.
2) Recommend a Nominating Committee Chair.
3) Be budgeted for expenses incurred by these committees.
4} Collect monies received by these committees, and forward the income to the
Comptroller.
5) Assist the President and CFO in preparing an annual budget.
Secretary:
The Secretary shall record the minutes at all Club meetings, and submit
them for publication in the monthly newsletter, Cheep News. In the event the
Secretary can not be present at a meeting, the President can appoint a temporary
secretary. The following is a list of additional duties of the Secretary:
1) Recommend a Librarian.
2) Recommend a Historian.
3) Be budgeted for expenses incurred by these appointees.
4) Collect monies received by these committees, and forward the income to the
Comptroller.
Chief Financial Officer (CFO):
The CFO shall keep all financial records for the Club ..
The CFO shall prepare an annual budget with the President and Vice-President The
CFO shall prepare a financial summary for review of the General Assembly in
December. The CFO will prepare an annual budget with the President and Vicepresident
The CFO will recommend a Comptroller.
Director of Communication:
The Director of Communication shall oversee the
dissemination of Club information and activities to all members and the general
public. The following is a list of additional duties of the Director of Communication:
1) Preside at Club meetings in the absence of the President and Vice-president.
2) Recommend a Newsletter Editor.
3) Recommend an Advertismg and Promotions Committee Chair.
4) Be budgeted for expenses incurred by these committees.
5) Collect monies received by these committees, and forward the income to the
Comptroller.
Membership Chairperson:
Membership Chairperso shall
oversee operations geared at membership recruitment, and maintain a current list of
the Club membership. The following are additional duties of the Director of
Membership
:
1) Recommend a Membership Committee Chair.
2} Publish a Membership Directory.
3) Recommend an Events and Fund-Raising Committee Chair.
4) Be budgeted for expenses incurred by these committees.
5) Collect monies received by these committees, and forward the income to the
Comptroller.
Publicity/Vendor Representative Chair:
1. Attend board meetings
2. Contact local vets, pet stores, etc. as needed for promoting CCAS
3. Contact Contra Costa Times to offer news to Gary Bogue
4. Work with President on publicity and promotions as needed
5. Print club brochures as needed
6. Maintain up-to-date contact information for all vendors/advertisers for newsletter and website
7. Notify Webmaster and Communications Chair for any ad updates/changes
8. Arrange with advertisers for shipment/pick up of products for raffle
9. Work with Raffle/Fundraiser Chair to deliver items to be used in raffles
Hospitality Chairperson ( Greeter):
1. Attend monthly meetings
2. Meet/greet members and guests as they arrive at monthly meetings
3. Fill out attendees “Attend-to-win” tickets as they arrive. Work with Raffle Chair to complete this task monthly
4. Give each attendee door prize ticket as they arrive
5. Display informational materials as needed
6. Connect guests with members as they arrive
Refreshment Chairperson:
1. Arrange for light refreshments at monthly club meetings
2. Organize clean up for ante room at CCWD after every meeting
AFA Delegate:
1. Attend AFA meetings or keep updated on issues
2. Stay abreast of issues and legislation
3. Report any findings to CCAS at meetings or to board members at board meetings as able
4. Share with CCAS members about benefits of joining so they may be well-informed.
